  1. Idox Software Limited ('Idox') provides services and software to local authorities in the United Kingdom.

  2. This website is part of a service to enable the Electoral Registration Officer at each Electoral Registration Office to carry out their legal requirement to seek a response from residential properties in their area, in order to determine which residents are eligible to register to vote.

  3. Idox will pass the data collected on this website to the relevant Electoral Registration Office to allow them to carry out their legal requirement. We may use the data collected for statistical purposes, to send correspondence relating to the use of the website, and to monitor and enhance the performance of the service. We will not use personal data from this service for any other purpose.

  4. We will look after personal information securely and we will follow the data protection legislation. We will not give personal information about you or any personal information you may provide on other people to anyone else or another organisation unless we have to by law.

  5. The lawful basis to collect the information in this form is that it is necessary for the performance of a task carried out in the public interest and exercise of official authority as vested in the Electoral Registration Officer as set out in Representation of the People Act 1983 and associated regulations.

  6. Some or all of the following are the types of data collected via this website –

    1. last name, first name

    2. personal address

    3. personal email address

    4. personal phone number

    5. date of birth

    6. nationality

    7. identifier for connection (login, password, etc.)

    8. identifier for devices (IP address, etc.)

    9. time stamping information (logs, etc.)

    10. NINO

    11. racial or ethnic origin (optional survey)

  7. Personal data is deleted within two months of the closure of the service each year. Closure of the service relates to the time when the relevant Electoral Registration Office has advised us not to accept any further responses via the service.

  8. Idox acts as the Data Processor on behalf of the Electoral Registration Officer (who is the Data Controller) at each relevant Electoral Registration Office, and the data collected during the Canvass by the elecreg.co.uk website is passed on to them.   9. Idox will only allow trained staff to process the data and will ensure that the data is kept in a secure environment.
